BRIM Academy Tuition Refund Policy

We want tuition expectations to be clear and understandable before enrollment begins. This policy explains how refunds are handled for regular tuition payments and for families using Utah Fits All / Odyssey scholarship funds.

Annual tuition helps reserve a learner’s placement, provide access to BRIM Academy curriculum and learning systems, support academic planning, and maintain school operations throughout the academic year.

1. Application and Registration Fees

Application fees, registration fees, placement fees, and enrollment processing fees are non-refundable.

These fees cover administrative work, enrollment processing, placement review, account setup, records preparation, and related services that begin before or at enrollment.

2. Withdrawal Before the Official Start Date

If a family withdraws before the learner’s official start date, BRIM Academy may refund tuition paid, minus any non-refundable fees and any curriculum, technology, subscription, assessment, placement, or service costs already provided, purchased, committed, or made available to the learner.

Families must submit written notice of withdrawal before the official start date in order to be considered for any pre-start tuition refund.

3. Withdrawal After the Official Start Date

After the learner’s official start date or the beginning of the school year, tuition is considered committed for the academic year and is generally non-refundable.

BRIM Academy does not automatically prorate or refund tuition after the official start date unless:

  • a refund is required by law;
  • a refund is required by the applicable scholarship or funding program;
  • BRIM Academy approves a refund in writing due to duplicate payment, administrative error, or unusual circumstances; or
  • a different written agreement has been signed by BRIM Academy.

Access to curriculum, learning systems, course setup, academic planning, placement support, records, and school services begins when enrollment is activated. Because these services require planning and institutional commitment, withdrawal after the start date does not automatically create a refund.

4. Monthly or Partial-Year Payment Plans

If a family is on a monthly or partial-year payment plan, withdrawal does not automatically cancel past-due amounts, fees already incurred, or tuition obligations already committed under the family’s enrollment agreement.

Families must provide written notice of withdrawal. Any remaining balance or payment adjustment will be determined according to the enrollment agreement, payment plan, official withdrawal date, and this refund policy.

5. Utah Fits All / Odyssey Scholarship Funds

For families using Utah Fits All scholarship funds through Odyssey or another program manager, BRIM Academy will follow the applicable scholarship rules and BRIM’s standard refund policy.

BRIM Academy applies the same tuition, fees, and refund policy to scholarship students as it applies to regularly enrolled students in the same program.

If a scholarship student withdraws and BRIM Academy’s refund policy provides for a tuition refund, the refund will be remitted directly to the program manager for deposit back into the student’s scholarship account. Refunds of scholarship funds will not be paid directly to a parent, guardian, or student.

If a UFA/Odyssey student withdraws after the official start date, BRIM Academy’s standard non-refundable tuition policy applies unless a refund is required by law, required by the scholarship program, or approved by BRIM Academy in writing.

6. Withdrawal Notice

To withdraw a learner, the parent or guardian must provide written notice to BRIM Academy.

The withdrawal date will be the date BRIM Academy receives written notice unless another date is approved in writing by BRIM Academy.

Families using UFA/Odyssey funds are also responsible for completing any required Odyssey parent-dashboard steps related to school change, withdrawal, or provider selection.

7. Scholarship Reporting

When required, BRIM Academy will report scholarship-student withdrawals to the applicable program manager within the required timeframe.

Beginning with the 2026–2027 school year, Utah law requires participating schools to report a scholarship-student withdrawal to the program manager within five business days and to apply identical tuition, fee, and refund policies to scholarship and regularly enrolled students in the same program.

8. No Direct Parent Refund of Scholarship Funds

Any approved refund of UFA/Odyssey scholarship funds will be returned to the program manager for credit back to the student’s scholarship account.

BRIM Academy will not issue scholarship-funded refunds directly to parents, guardians, or students.

9. Administrative Discretion

BRIM Academy may review unusual circumstances on a case-by-case basis. Any exception to this refund policy must be approved by BRIM Academy in writing.

An approved exception in one case does not create a guarantee or precedent for future refunds.

Before the official start date, a tuition refund may be considered after non-refundable fees and already-committed costs are deducted. After the official start date, tuition is generally non-refundable unless required by law, required by a scholarship program, or approved by BRIM Academy in writing. If Utah Fits All / Odyssey funds are refunded, they are returned to the scholarship account through the program manager, not paid directly to the family.
